Thinking about hosting a GCGPC Show ?
While our GCGPC Policy and Guidelines Manual offers all of the requirements for hosting a GCGPC show, here is a short break down to get you started on considering whether or not to host.

- Contest Host must submit the offered Google forms doc / application to the Executive Board, with requested dates, to host a GCGPC Contest.
- The Google form application should be completed before the first week of August if possible. Note the 3rd Sunday in August is our Fall Circuit Meeting where membership will review and vote on the upcoming season’s schedule.

- A representative from the potential host school must attend the Fall Circuit Meeting – August 24th 2:00pm – Pace HS, Pace Florida.
- All contact information and communication for contest hosts will be handled by the GCGPC Contest Director
- Unit Check-in should be located outside of the competition area. Host MUST provide ADULTS that can answer all questions about the facility including location of the gym, warm up areas, prop storage area, dressing rooms, bus parking, emergency care location, etc.
- Host MUST provide ADULTS to stamp each of the performer’s hands for back sideline seating at the contest.
- Have an adult (21+ years of age) at all doors and entrances into the gym checking hands to ensure that everyone entering the contest has paid. (otherwise you WILL lose money – people do try to enter without paying)
- Host will provide proper SIGNAGE pointing to all needed contest areas.
- Host will provide Uniformed security and emergency medical service (adult) is REQUIRED for the duration of the contest (paramedic, nurse, first aid, certified adult) Location of first aid area should be clearly marked with signage and communicated to the unit directors and the GCGPC staff.
Note *** If an emergency alarm of any kind should occur during the contest, the contest will cease and desist and the show host will work with the contest director on a course of action on a restart or cancellation of the event. - Host will provide refreshments and separate rooms for Judges and Directors/Staff for the duration of the contest.
- Provide a minimum of three student runners for the judges during the contest. Runners should report to the Circuit Staff table for instructions prior to the contest and will be under the direction of the Contest Director.
- Gym / Arena Competition area at least 60‟ x 90‟ in size. The 60‟ must be from the bottom row of spectator seating across to the bottom row of back stands. There must always be a safety zone of at least five (5) feet around the minimum size 60‟x90‟ competition area.
- Adequate parking facilities for competing units and spectators.
- Host will communicate with the previous week’s contest host and arrange pick up of the Circuit trailer – Must have a vehicle with a trailer hitch.
- Trailer will need to be parked as close to a gym entrance as possible for Circuit staff to unload and load
- Suitable Color Guard warm-up facilities for body and equipment and suitable outside areas – preferably paved access for Percussion Units.
- DOUBLE DOORS with center bar removal for easy access and/or exit of equipment and carts. GCGPC contest hosts will provide pictures and dimensions of entry and exit doorways.
- The Percussion show will require power be accessible on the front and rear of the competition floor.
- Concession or snack bar available and open one hour before and throughout the event. Monies made from concession are 100% your profit.
- Proved Expo/booster sales space if possible to vendors and parking for any agreements made for food trucks. This is totally your discretion.
- Host should ensure that communicative devices are provided for communication between the volunteers and staff. Radios / Walkie Talkies.
What will it cost my boosters to host a GCGPC show ?
- Show host are responsible for paying a one time show host fee of $5200.00 prior to the actual show. Here is a breakdown of what the $5200.00 entails.
- Guard Movement Judge $350.00
Guard Equipment Judge $350.00
Guard Ensemble Judge $350.00
Guard General Effect Judge 1 $350.00
Guard General Effect Judge 2 $350.00
Timing and Penalty Judge $500.00 (for both shows)
Percussion Music Judge $350.00

GCGPC Travel Fund $750.00 - Host is responsible for Judges transportation to and from the airport, contest site, and hotel. We suggest using hotels at the airport so the host only has to get them to and from the show site. Airport hotels have 24hr shuttles.
- Host is responsible for individual rooms for each Judge. The hotel stay could be for 1 or 2 nights. Some Judges are local to the area and do not require lodging so the final lodging cost varies based on the Judges who are assigned to each show.
- The official Contest Admission prices will be the same for every contest except for CHAMPIONSHIPS.
- Regular Season Show admission price is $12.00 for Cash purchase and $15.00 for Card purchase. Quick Note - $12 X 434 paying customers = $5208
- Circuit CHAMPIONSHIPS admission price is $15.00 for Cash purchase and $18.00 for Card purchase. Quick note - $15 x 347 paying customers = $5205
- If Credit/Debit Card payment is offered, ensure notice of additional fees is provided before running a card payment.
- Here are some attendance numbers from last year. Week 1 – 578, Week 2 – 534, Week 3 – 851, Week 4 – 751, Week 5 – 1351(Champs)
- Concessions monies and door admission monies belong to the host 100%
- Children five years old and under are to be admitted for free.
- Adults sixty-five years old and over are to be admitted for free.
- The host can sell Happy Grams, for at least $2.00 with 50% given to the GCGPC for the JC Connors Scholarship Fund.
Miscellaneous Information
- Adult Staff – Show Host can avoid many issues by ensuring that ADULTS work the important stations like the spectator entrance doors, hospitality room, guard warm up and body rooms, parking lot management and performance entry doors.
- Host must provide a rain plan with maps and directional show travel prior to agreeing to host.
Listed below are the 2026 possible dates for hosting – Please know there are conflicts every weekend, some more than others. Listed are the available WGI Regionals and some of the FBA dates. The conflicts listed do not affect every program for GCGPC. If you know of other possible conflicts, please email them to the board at bod@gcgpc.org
The membership will decide the final schedule by a majority vote on Aug 24, 2025.
Host should check with their Athletic Director now for the Basketball schedule. Contracts are already signed for the 2025-2026 School year.
